Roctoo Portal FZE ("Roctoo", "we", "us", or "our") operates the roctoo.com platform (the "Platform"). This Privacy Policy explains what personal data we collect from Users of the Platform, how we use and share it, and the choices and rights available to you. By using the Platform, you acknowledge the practices described in this Policy.

1. Who This Policy Applies To

This Policy applies to all Users of the Platform, including Clients who browse listings or submit property requirements, Brokers and Agents who list properties and manage clients, and Company representatives who manage a team profile on the Platform.

2. Information We Collect

2.1 Information you provide directly

• Account details: full name, email address, phone number, password, and role (Client, Broker, or Company).
• Profile and verification information: for Brokers and Companies, licensing details, trade documents, and other information submitted to verify professional status.
• Property information: details you submit about a Listing you own or are authorized to market, including price, location, specifications, photographs, and exclusivity status.
• Requirement information: details you submit about a property you are seeking (a "Demand"), including budget, location preferences, and property type.
• Transaction and deal records: payment references, commission records, and outcomes of deals you record on the Platform.
• Communications: messages, enquiries, and support requests you send through or in connection with the Platform.

2.2 Information collected automatically

• Device and usage information: IP address, browser type, device identifiers, pages viewed, and actions taken on the Platform.
• Activity and scoring data: engagement signals used to calculate matching and activity scores between Demands and Listings (referred to internally as "DNA" scoring), such as searches, saved listings, and response activity.
• Cookies and similar technologies, as described in Section 8 below.

3. How We Use Your Information

• To create and administer your account, and to verify Broker and Company eligibility to operate on the Platform.
• To publish and display Listings, and to match Demands with relevant Listings using our automated matching logic.
• To facilitate communication between Clients, Brokers, and Companies in relation to a Listing, Demand, Proposal, or Deal.
• To process, review, and record Transactions and Deals submitted through the Platform.
• To send you service-related notifications (such as match alerts, proposal updates, and access expiry notices) and, where you have consented, marketing communications.
• To maintain the security of the Platform, detect fraud or misuse, and enforce our Terms and Conditions.
• To comply with applicable legal, regulatory, and audit requirements, including those relevant to UAE real estate brokerage activity.

4. Legal Basis for Processing

We process personal data on the basis that it is necessary to perform our agreement with you (our Terms and Conditions), to comply with legal obligations applicable to us, on the basis of your consent (for example, for marketing communications), or on the basis of our legitimate interests in operating, securing, and improving the Platform.

5. How We Share Information

• Between matched Users: where a Match, Proposal, or Deal is created between a Demand and a Listing, relevant contact and property details may be shared between the Client, the Broker, and (where applicable) the Company involved, for the purpose of facilitating that transaction.
• With Company teams: where a Broker operates under a Company profile, relevant listing, client, and pipeline information may be visible to authorized members of that Company.
• With service providers: we may share information with vendors who support hosting, payment processing, verification, analytics, or customer support, under confidentiality obligations.
• For legal reasons: we may disclose information where required by law, regulation, court order, or to protect the rights, property, or safety of Roctoo, our Users, or the public.
• Roctoo does not sell your personal data to third parties.

6. Data Retention

We retain personal data for as long as your account remains active, and for a reasonable period afterwards where necessary to comply with legal, accounting, or regulatory obligations, to resolve disputes, or to enforce our agreements, including retaining historical Transaction and Deal records for audit purposes.

7. Data Security

We implement reasonable technical and organizational measures designed to protect personal data against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Cookies and Tracking Technologies

The Platform uses cookies and similar technologies to keep you signed in, remember preferences, understand how the Platform is used, and support matching and analytics features. You can control cookies through your browser settings, though disabling certain cookies may affect Platform functionality.

9. Your Rights

Subject to applicable law, you may have the right to request access to, correction of, or deletion of your personal data, to object to or restrict certain processing, and to withdraw consent where processing is based on consent. To exercise these rights, contact us using the details in Section 12.

10. International Data Transfers

Personal data may be processed or stored on servers located outside the United Arab Emirates, including through service providers we engage. Where this occurs, we take steps intended to ensure an appropriate level of protection for your information consistent with this Policy.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Where changes are material, we will provide reasonable notice through the Platform or by email before the changes take effect. Continued use of the Platform after the effective date of any update constitutes acceptance of the revised Policy.
